Lafayette NetIDs Overview
All members of the college community use a particular identifier, the Lafayette NetID, to identify themselves when authenticating to College services. NetIDs are issued in different ways based on the role the owner will hold at the College.
Administrators & Staff
For administrative and staff positions, a hiring supervisor will make a request to HR. That office will initiate a workflow that creates the NetID and informs other stakeholders in the onboarding process.
Faculty
For faculty positions, a hiring supervisor will make a request to the Office of the Provost. Staff there will initiate a workflow that is similar in most regards to the workflow for non-faculty employees.
Students
For students, the Office of Admissions will request the creation of new NetIDs and issue welcome emails to new students with instructions for claiming those NetIDs.
For part time students, LVAIC students, or high school students taking College courses, the Registrar’s Office will request NetIDs directly from the Identity and Access Management (IAM) team. The IAM team will issue account claim emails directly to those students.
NetID Lifecycle
The NetID lifecycles for employees, students, and alumni follow institutional workflows. Affiliate NetID lifecycles are managed by their sponsoring employee.
Employees & Faculty
For employees, HR or the Office of the Provost sets the deactivation date of the NetID. For full time faculty with a termination date of June 30, the NetID is typically left active until August 31 of the same year. HR and the Office of the Provost have discretion in extending NetID activations on a case-by-case basis.
Students
Student NetIDs are not deactivated when they graduate from the College. Alumni can continue to use their NetIDs to take advantage of student and alumni services.
Alumni
Alumni retain access to some student services until February 1 following the Spring graduation of the student’s class year. The exact services students retain access to are determined by individual service policies. E.g. a member of the class of 2023 who graduated in May 2023 would have retained access until February 1, 2024. At that time, alumni NetIDs have their access to any remaining student resources removed. Students typically have access to alumni services and resources several months prior to graduation and retain that access throughout the life of the NetID.
Both employee and student NetIDs must be actively used to remain active. If an employee or student NetID is not used to authenticate to a web single sign-on service within a 365 day period, it will be automatically deactivated. The owner of such a NetID must contact the Help Desk in order to recover a NetID that has entered a deactivated state.
